Vacation Rental Policies

PAYMENT: A reservation deposit equal to 50% of the total rental amount will be due to confirm the reservation. Visa, Mastercard, Discover and personal checks are accepted. If paying by check, a credit card must be registed for your security deposit.

FINAL PAYMENT: The balance is due 30 days prior to arrival. Credit card payments will be billed automatically 30 days prior to arrival.

LAST MINUTE RESERVATION: Reservations made less than 30 days prior to arrival will be paid in full by credit card at time of reservation.

IF YOU PAY BY CHECK: A credit card number will be registered to secure the confirmation and security deposit. The credit card will be automatically charged for any outstanding deposit or balance due amount if your check isn’t received in a timely manner.

SECURITY DEPOSIT: Under the North Carolina Security Deposit Act, Smoky Mountain Getaways may collect a security deposit to be applied to actual damages caused by the tenant or for other accrued fees. In lieu of a security deposit, you have been enrolled into a limited damage waiver plan.

This limited damage waiver plan protects you from being charged for up to $500 for inadvertent or accidental damage that may occur. You remain responsible for any damage, repair or replacement expenses exceeding $500. It does not cover any damage or loss that is not disclosed to Smoky Mountain Getaways during your stay.

REPORTING DAMAGE: Guests must report any loss or damage by the time of check-out or the damage waiver is void and your credit card will be charged. Smoky Mountain Getaways, Inc has the sole authority to determine the nature and extent of damages, necessary repairs and eligibility for the waiver of liability described herein.

OTHER CHARGES: Additional items not covered by the waiver plan that will be charged to the guest:

  • Cost incurred for long distance phone calls or pay per view movies
  • Excessive cleaning needed at $15 per hour
  • Late departure fee at $50 per hour
  • Bringing a non approved pet - $200
  • Any damage caused by pets
  • Smoking indoors - fee of $200
  • Lost key - fee of $25
  • Retrieval of items left at rental unit - $25 retrieval fee plus all shipping costs

CANCELLATION: In the event of cancellation by the tenant, tenant shall receive a refund of all payments made less a cancellation fee of $75 if cancellation notice is received 31 days prior to rental date. Cancellations made 30 days or less prior to the reservation date will forfeit 100% of full payment. Reservations cannot be transferred to another rental property within 30 days prior to arrival.

TRIP INSURANCE: Smoky Mountain Getaways, Inc. acts solely as an agent for the Lodging Protection Plan Cancellation & Interruption Coverage administered by CSA Travel Protection. The plan offers coverage for certain pre-arrival weather conditions, pre-existing conditions, medical, loss of life & accidents. For specific details or situations in determining to accept coverage call our office or CSA at 1-866-999-4018 and refer to Plan TMP100010. To purchase trip insurance for your reservation, please ask one of our representatives to assist you.

MINIMUM AGE: Must be 23 years of age or older.

MAXIMUM OCCUPANCY: Maximum occupancy is shown for each house. Too many occupants may result in additional charges or eviction.

GUESTS RESPONSIBILITY: You shall be solely responsible for any property, damage, loss or theft from the premises during your occupancy including loss of money, jewelry and other items of personal property of yours or your guests and any accident or bodily injury suffered or incurred by any person resulting from the use or occupancy of the premises or items of personal property and any recreational activities and will hold Owner, Smoky Mountain Getaways, Inc. harmless with respect there to.

CHECK-IN: 4:00pm or after

CHECK-OUT: 10:00am

CLEANING: Units are professionally cleaned after departure. Please report anything we fail to clean upon arrival. Guests are responsible for leaving the unit in reasonably clean condition, storing all dishes away, removing trash to the appointed dumpster, stripping linens from beds, starting laundry and returning keys to the lockbox.

MAINTENANCE: Smoky Mountain Getaways makes every effort to perform regular maintenance and upkeep of the cabins. This includes keeping all amenities and equipment in good working order. However, just like in your own home some of the equipment may malfunction from time to time. This includes things like appliances, hot tubs, A/C and heating units, satellite TV, internet, gas fireplaces, etc. We cannot offer refunds or discounts for any such malfunctions, but we will try and correct the problem in a timely manner during business hours. Please remember that you are in a small town where most repair shops are not open after normal business hours or on weekends.

HOT TUBS: All hot tubs are cleaned and chemically sanitized prior to each guest’s arrival. We ask that if your hot tub has a bromine floater, please leave it in the water at all times. There are medical and health risks associated with using hot tubs. Please use them at your own responsibility and discretion. Rinse your body free of any lotions, body sprays, etc. before entering the water. When mixed with the chemicals in the water, some of these products may cause a rash on your skin. When not in use, please replace the cover back over the hot tub. Do not stand or sit on any hot tub cover. Damage caused will not be covered under the Insurance Waiver Plan. Smoky Mountain Getaways assumes no risk or responsibility associated with hot tub use.

WEATHER: Winter in the mountains can be tricky. We recommend that you come prepared with either a four-wheel drive vehicle or chains. There will be no refunds for not being able to reach the home due to inclement weather (make sure to keep an eye on the weather forecast before your arrival). We will however allow you to move your reservation forward within the next 60 days (at same rental unit). This option is only available in advance and not after you have already arrived at the unit. Travel insurance is available and highly recommended for any stay.

ENVIRONMENT: Welcome to mountain roads! Many roads are steep and graveled. Road conditions will vary depending on rain, snow, ice, etc. Smoky Mountain Getaways does not know the current condition of every driveway – come prepared. While making reservations, be sure to inquire about access to the home and make sure it’s compatible with the type of vehicle you drive. Most homes are not motorcycle or trailer accessible. We will try to assist you in any way possible, but failure to arrive at your rental does not constitute a refund or discount.

PESTS: Regular pet control maintenance is preformed on each unit. However, we are in the mountains and cannot guarantee that any home will be pest free. Ladybugs are a common problem (especially in spring and fall) and there’s unfortunately nothing to be done about them. They will not hurt you. We will not offer a refund or discount due to pests, but will try to assist you in any way possible.

NON-SMOKING: All properties are non-smoking inside. Failure to comply with the non-smoking policy will result in a deduction of $200.00 from the security deposit.

PETS: Pets are not allowed in most homes, however a few homes are pet friendly. If you request a pet friendly home, you will be required to agree to and submit to the following:

  • No pets on furniture, bedding or linens.
  • Have your pet treated with flea medication.
  • Observe leash rules
  • Yard cleanup
  • Furnish your pets bedding, do not use linens in house
  • If pet is left inside house alone, please keep pet inside a kennel.

You will be responsible for all loss or damage including repairs, cleanings and replacement of inventory. If conventional cleaning methods prove ineffective for removing dog hair, the inventory item will be replaced at your expense. If flea removal is necessary, you will be responsible for pest control services bill. This is in addition to your rental fees or any non-refundable pet fee paid. Failure to comply with the above rules will result in early termination without refund of rent or security deposit.

WATER: Most units are on a well or spring. Please use the water conservatively as unlike municipal water, the supply is limited.

ITEMS PROVIDED: All properties are equipped with supplies for light housekeeping. We provide an initial supply of toilet tissue, paper towels, trash bags, soaps, and detergent. For weekly stays, additional supplies will be needed. Please do not forget to bring these items with you.

LINENS AND TOWELS: Upon arrival, your beds will be made and there will be fresh towels for the maximum occupancy for the home. Please bring beach towels.
